Head of Events Production

About Longview's Events

Longview runs a considerable events programme in service of our core goals: working with major philanthropists; excellent longtermist grantmaking; and building the longtermist community amongst important decision- makers. This currently includes:

  • Two ~65 person ~4 day highly curated residential retreats per year

    • Typically one in the UK and one in the US 

  • Ad hoc events such as:

    • “Mini-retreats” for small groups of prospective and current longtermist donors

    • Curated dinners and talks in e.g. London, New York, San Francisco 

  • Support to other mission-aligned organisations and individuals looking to run flawlessly executed, high-impact events

    • For example, in 2023 we will be running a multi-day residential workshop for academics, scientists and industry experts to help ascertain the safety of a new technology in the field of biosecurity 

  • Internal Longview team retreats and events for our rapidly growing team (from 6 full-time employees in 2021 to ~20 by the end of 2022) 

Responsibilities

The overarching responsibility of the Head of Events Production will be to ensure the flawless production of a high impact events schedule. This means inputting on our high level strategy, as well as owning all of the logistical elements of our events from scoping and selecting a venue to overseeing the on-site execution and leading the post-event production debrief. 

The Head of Events Production will work very closely with our two Event Directors, Rachel Edwards and Tildy Stokes. Rachel and Tildy will tend to be more focussed on content, programming and communication with attendees, though a lot of work will be highly collaborative. 

 

The responsibilities for this role are:

  • Strategic input: Ensuring our events calendar is optimised to support our strategic goals by shaping the frequency, form, location, timing, and attendees of our events. 

  • Production project management: creating, and ensuring strict adherence to, project plans for a variety of events to ensure they are delivered in a timely manner and to a flawless standard. 

  • Executing all logistics for the events. This includes:

    • Venue scoping and selection

    • Building the agenda for the event

    • Creating catering briefs and reviewing and approving proposals 

    • Identifying and sourcing inventory

    • Managing audio-visual requirements 

    • Scoping and selecting vendors e.g. activity and merchandise providers

    • Ensuring our events are fully compliant e.g. appropriate insurances are in place and health and safety requirements are adhered to

  • Liaising with venues, vendors, and other external parties. Where needed, liaising with event attendees.

  • Contracting and managing additional staff and contractors during events, e.g. our travel coordinator, additional on-site production staff, note-taking staff, and venue and vendor staff.


The successful candidate will be managed by Longview’s Head of Operations, Katie Hearsum (which involves weekly 1-1s and regular performance reviews).

  • Project management experience: a demonstrated ability to lead and ensure the timely execution of multiple high-stakes projects without significant oversight. Ability to delegate effectively when needed and ensure the team is on track and deadlines are adhered to. 

  • Action oriented: someone who loves getting things done.

  • Highly organised: demonstrated ability to effectively manage a significant task volume and appropriately re-prioritise as required.

  • Independent: able to use discretion and good judgement to make object level decisions without needing to defer to others in the team. 

  • Commitment to quality: we are committed to ensuring Longview events are executed to the highest possible standard. The successful candidate will be relentless in the pursuit of this. 

  • Effective at fostering professional partnerships: able to quickly build strong partnerships with external parties to ensure their commitment to the flawless delivery of our events.

  • Familiarity with effective altruism: we are a mission-driven organisation and familiarity with the concepts of effective altruism and longtermism are important as they guide our content, work and strategy. 

  • Discretion and confidentiality: commitment to maintaining appropriate levels of confidentiality.   

 

Desirable

  • Experience in organising events: experience in owning the entire process (planning, execution, review) of retreat-style or conference-style events and/or polished, high-end events.

    • A concrete example: Katie Hearsum was hired into our Operations team with no prior operations or events experience (she was in finance) and established our events programme.

Salary, Benefits and Location

  • This position is full time and in-person, working from our east London office in the beautiful Fora, Great Eastern Street

  • Starting salary of £65,000 - £75,000 p.a., dependent on experience and skills.

  • Benefits include: generous paid vacation time, 10% employer pension contribution, equipment budget, training budget, well-being budget, free gym classes, private healthcare and dental care, and a well-stocked office fridge. 

  • We also have flexible working hours and the option to occasionally work from home.  

    • We typically work regular hours (c. 9am-6pm) but would expect the successful candidate to be willing to work outside of these hours when needed in the run up to events and when attending/running events.

  • Second stage: paid work task (c. 6 hours)

    • We will pay candidates £50/hr (£300 total) for completing this stage.

  • Third stage: in-person interview (1 hour)

    • We will conduct interviews on a rolling basis.

    • If you are unable to attend an in-person interview please let us know and we will likely propose a Zoom interview. 

  • Fourth and final stage: in-person 1 week work trial

    • We recognise an in-person trial is a significant commitment. An honorarium will be provided to all candidates who complete a work trial (£1,000/working week) and travel and accommodation costs will be reimbursed. 

    • We are keen to work with the final candidate(s) to ensure they are able to complete a work trial, and aim to be flexible and accommodating. Please reach out if you are interested in applying but think you’d be unable to complete a work trial.
