Key Information

Role: The Operations Analyst’s mission is to ensure teams have access to the resources and systems they need to do their most impactful work. This includes providing operational support to Grantmaking & Advisory teams, managing our London office, and maintaining our internal resources, systems, and processes. They will report directly to an incoming Business Operations Director and sit within the Operations Department, led by the COO.

Location: London in office

Salary: £35,000 - £55,000 p.a. 

Benefits: 10% employer pension, private healthcare including vision and dental, 25 days holiday minimum; 4 months fully paid family leave; £5,000/year wellbeing budget, £2,400/year professional development budget, and a well-stocked office fridge.

Impact in this role

In this role, you’ll support the Longview team to deploy over $10m per year to reduce the risk of a major global catastrophe, such as a nuclear war between great powers, an engineered pandemic, or the misuse of advanced artificial intelligence. Your work will enable Longview to operate more effectively and nimbly, and you’ll support a team working on high-impact grantmaking.

Role information

Areas of Responsibility:

  • Business Operations staff support: 
    • Act as the point of contact for troubleshooting and answering staff questions related to:
      • Office operations
      • Contractors and suppliers
      • Systems and software
      • Expenses and reimbursements
      • Equipment
  • Office management
    • London Office:
      • Ensure a productive and comfortable working environment by maintaining office inventory, stocking supplies, and managing equipment orders.
      • Create a positive experience for visitors and guests.
    • Remote Staff:
      • Support remote employees in finding and contracting office spaces.
      • Assist with setting up ergonomic home offices.
  • Systems management
    • Onboard new hires to shared systems, norms, and processes, collaborating closely with People Operations.
    • Monitor and optimise system use, ensuring efficiency and proper access for all team members.
  • Knowledge management
    • Help keep our shared drives organised
    • Help build and maintain our team wiki on Notion
  • Team executive assistance
    • Manage & triage enquiries from our website
    • Draft agendas for meetings
    • Order miscellaneous items as needed
  • Team coordination
    • Administer sprint processes, team meetings and other regular meetings/ processes
    • Implement productivity and coworking initiatives
  • Support contractors
    • Issue NDAs and manage related documentation for contractors and collaborators.
  • Finance administration:
    • Manage spending card distribution
    • Review expenses documentation
    • Coordinate with external bookkeepers to ensure timely processing of invoices
  • Cybersecurity, IT, Website management
    • Implement content updates to the Longview website
    • Ensure compliance with our cyber security policy
  • Support the Grantmaking and Advisory teams with ad hoc operational tasks based on their project needs.
  • Support hiring processes by setting up systems and communicating with candidates.

This list of responsibilities may evolve based on the organisation's needs. We're a small, dynamic team, so flexibility is key—especially in this role, where pitching in and adapting to support the team will be essential.

After 3 months, we expect the Operations Analyst to:

  • Confidently own their areas of responsibility, understand how Longview operates, and know where they add value. Staff rely on them to fulfil responsibilities and troubleshoot questions effectively.
  • Maintain a well-stocked and organised London office that fully supports staff productivity and comfort, while ensuring remote staff have access to ergonomic setups and coworking space options.
  • Progress building out the team wiki, creating a foundation for organised and accessible knowledge sharing internally.
  • Identify and propose a solution for improving at least one area of the shared Drive to enhance usability and efficiency.
  • Establish consistent meeting processes to support team coordination, including clear agendas and actionable follow-ups.
  • Ensure all active contractors have signed relevant and up-to-date documentation.
  • Confirm that all staff, contractors, and work trial participants have the appropriate system and account access to perform their roles effectively.

  • At least 1 year of professional experience
  • Able to work full-time in our London office

Application Process

  • First stage: Fill in this application form. After you submit an application, you will receive a 20 minute screening task by email. Please complete this task within 1 week.
  • Second stage: First interview (30 minutes) 
  • Third stage: Paid work task(s) - 2h-4h  
    • We will pay candidates £30/hr for completing this stage.
    • Anyone doing a paid work task must have the relevant right to work in the place where they are doing the work.
  • Fourth stage: Second interview (1 hour) and reference checks
  • Fifth stage: in-person 3-5 day work trial
    • We recognise an in-person trial is a significant commitment. An honorarium will be provided to all candidates who complete a work trial and travel and accommodation costs will be reimbursed.
      • For those with the right to work in the UK this will be an in person work trial. For those without the right to work, this will be a remote work trial, but we might request you to travel to our London office to meet the team.
